Polk Museum of Art has an opening for a Membership Manager and a Director of External Affairs.

Membership Manager

The Membership Manager (MM) is responsible for administering the day-to-day operations of the Museum’s membership and retention programs, as well as providing a wide range of related administrative support for the varied activities for the Museum. This position must support the Museum’s core values and fundraising objectives. The MM is responsible for the management and coordination of the Members’ Opening Receptions, and other member events as appropriate.   This job includes data entry, letter writing, and maintenance of the data base records.

  • Membership Recruitment: The MM is responsible for establishing and maintaining a membership presence at Museum and community events (as appropriate).  The MM will make telephone calls, and will speak at civic clubs or other organizations to encourage and cultivate membership.  Membership applications and brochures will be maintained at the front desk of the Museum, and in the Administrative reception area, as well as at events and in other targeted areas. The MM will assist in coordinating membership marketing plans, and will support and collaborate with other Museum staff and functions. A flexible schedule is required.
  • Membership Retention/Upgrades: The MM will oversee maintenance of individual and corporate membership records, billing procedures and generation of reports.  The MM is responsible for preparing and mailing membership invoices, membership letters, and membership cards.   The MM will serve as liaison with the Board’s Membership Committee, and will be responsible for minutes at meetings, and preparing reports for meetings.  The MM will help set, and then reach goals for membership upgrades, and will work to nurture membership relationships, and cultivate new ones. The MM will plan and implement membership special events in coordination with relevant staff.
  • Data Entry/Software:  The Membership Manager manages and maintains all membership and non-member data base activities. The MM must be computer literate, and is responsible for all job-related data entry, for letters acknowledging memberships and donations, and for maintaining constituent records, as well as any other necessary correspondence and reporting needs.

Education: B.A. Degree in the areas of business, special events planning, marketing, hospitality or customer service is preferred, with at least two years of successful experience in any of these areas.

Director of External Affairs

Areas of Oversight:         Development/Membership/Public Relations/Marketing/Mayfaire

This is an exciting opportunity for a highly motivated and civic-minded professional to further advance the goals of Polk Museum of Art as a leading cultural institution in service to the citizens of Polk County and beyond. Polk Museum of Art has grown to become one of Florida’s top ten museums and was designated a Smithsonian affiliate in 2010.

The Director of External Affairs is responsible for the oversight of the Museum’s development, membership, public relations & marketing programs as well as MIDFLORIDA Mayfaire by-the-Lake, one of Florida’s premier outdoor art festivals. S/he will design and implement a comprehensive and proactive plan focused on expanding, enhancing and retaining individual, corporate, government and foundation support to increase capacity, advance the institution, expand our reach and better serve the public.  The Director of External Affairs will be actively involved with key communities toward the achievement of short- and long-term fiscal and outreach goals.

The successful candidate has proven success in fundraising, membership development and marketing;  is highly motivated;  thinks broadly and creatively; and is skilled in creating new initiatives – including impact-based fundraising – with the Executive Director, Board Members, volunteers and a dedicated staff.

Requirements include:

Bachelor’s degree.  Master’s degree and CFRE certification preferred.

Five years successful experience at the senior level, preferably with a museum or arts organization.

The ability to collaborate and nurture positive relationships with constituents and colleagues.

Exemplary interpersonal, written and verbal communication skills.

Excellent organizational, administrative and project-management skills.

Knowledge of and skill in operating advanced fundraising and donor management software.

Facility with social media and skill in its strategic application.
